# Installation

Getting started in just a few minutes with pre-made workspace templates

## Install the app from the marketplace

The first step is to install the [DocExport app](https://monday.com/marketplace/10000360) on your monday.com Account.&#x20;

1. [Click on this link](https://monday.com/marketplace/10000360) (monday.com marketplace)
2. In the marketplace, click on the blue button **Sign in to install** and on the next page **Add to your account**

## Add the app to an existing board

1. Add a view to the board ("+" Icon)
2. Hover over "Apps"

# How DocExport works

Generate any document you can think of and get an instant preview of it.

DocExport turns the data on your monday.com board into finished documents - PDF or Word. Whatever you build, it always follows the **same simple flow**. Once that clicks, everything else in this help center falls into place.

### The core flow

1. **Get a template**&#x20;
   1. **Build a template:** a Microsoft Word (`.docx`) file where you mark where your data should appear by using [**placeholders**](/template/placeholder-directory)**.**
   2. **Use a predefined template** such as the Board or Item Print - DocExport provides several ready made templates (already available in the app) that will give you your first result within seconds.&#x20;
   3. **Choose a template from our free** [**Template Gallery**](https://www.docexport.com/template-gallery/) as a starting point for your customizations. We created a choice of ready-to-use Microsoft Word (.docx) templates that you can download and adapt to your needs.
2. **Generate** – DocExport fills the template with real data from your board or item and shows a **live preview**.
3. **Download** – save the result as a **PDF** (or Word file).
4. **Distribute & automate** *(optional)* – send it by email, save it to a file column or have it generated automatically on a trigger (e.g. button click or status column change).

That flow is identical for every document, only the details inside each step change depending on the type of document you choose.

### Which document type do you need: Item or Board?

Before you build a template, decide what your document is about:

* **One item** (one client, one order, one task) → **Item Level**
* **Many items as a table** (a report, a list) → **Board Level**
* **Single SubItem** (e.g. a product line or a shipping box) → **Subitem Level**

This choice determines which placeholders you use and how you can generate your documents. Walk through the two main types here: [Item Level vs. Board Level](/getting-started/item-vs-board-level).

### Placeholders: the glue

Placeholders are how your document knows which data to pull in. They sit in your Word file inside double curly braces and get replaced with real values when you generate your document:

# Item Level vs. Board Level

DocExport always creates one of two document types. Choosing the right one upfront decides **which placeholders you use in your .docx template** and **how you can generate the PDF** - so it's worth getting this right before you build a template.

**Quick rule:** Does your document describe **one item** or **a list of many**?

* One item (one client, one order, one task) → **Item Level**
* A table of many items (all tasks, all deals) → **Board Level**

### A few examples

* **Item Level:** "Send this one client their contract." / "Create the invoice for this order." / "Generate a certificate for this attendee."
* **Board Level:** "Export all overdue tasks grouped by status." / "A weekly report of every deal in the pipeline." / "A product list of all warehouse items."

**Mixing both is possible.** You can pull a table from **another board** into an item document, and you can **filter** a board document down to specific items. But the *base type* is always decided by the question above.

# Item Level from A-Z

Create a document that includes the information of a specific item of your board.

This guide walks you through the full journey of an item-level document - from creating your template or using a predefined one to downloading, sending and automating your PDF.

## 1. Create or choose your template

You have two ways to start:

### Option A: Use a ready-made template (fastest)

Open the **DocExport** view and pick a template from the dropdown:

* **Item Print** — instantly prints the current item's columns, no setup. Pick the item print from the dropdown and jump straight to [step 3.](#id-3.-generate-and-download-your-pdf)
* **A designed template** (invoice, certificate, event ticket…) from the built-in set or the [Template Gallery](https://www.docexport.com/template-gallery/) - pick one and match it to your board in a few clicks. See [Use a predefined template](/getting-started/predefined-template).

### Option B: Build your own template (.docx)

A template is just a regular **Microsoft Word (.docx)** file with placeholders where your monday.com data should appear. You can start from scratch or [simply reuse an existing business document](https://youtu.be/mjM33dXW1os?si=rOu5E3zTVV0Gm3vG), such as a **letter or contract**.

1. Open Microsoft Word (or Google Docs) and create or open your document.
2. Write the document as usual. Everywhere you want to pull in data from a monday.com item, **insert a placeholder**.
3. Save the file as **.docx**.

#### Insert placeholders

To pull the value from **one specific item** in your board, use the prefix `Item.` followed by the column title, wrapped in double curly braces:

`{{Item.ColumnTitle}}`

The column title inside the placeholder must match the column name on your board **exactly**.&#x20;

**Examples:**

`{{Item.Status}}` – data from an item’s status column

`{{Item.Due Date}}` – an item’s due date

Here is what a simple **letter / contract** template could look like:

Dear {{Item.Contact Person}},

thank you for your interest. Please find the details for {{Item.Name}} below:

Project:   {{Item.Name}}

You can also add **general placeholders** for board- or user-level data:

`{{User.name}}` – Name of the monday user\
`{{Board.name}}` – Name of the monday board

## 2. Upload your template to DocExport

1. Open the DocExport view in your board.
2. Click **Upload template** and select your `.docx` file.

## 3. Generate & download your PDF

1. DocExport creates a real-time preview of your document.
2. Choose **which item** the document should be created for in the dropdown next to the preview.
3. When you are happy with the result, click **Download** in the top right corner to save your PDF.

If you want to make [further adjustments (colors, fonts, layout)](/template/customization), click **Customize template** to download or re-upload the Word file.

**Quick path after setting everything up:** If you only occasionally need a one-click PDF for a single item, you can generate it directly from the item card - without opening the DocExport view at all after the set up. ## 4. Set up Actions: what happens with the PDF

By default, every document is saved in your list of reports. With **Actions** you can decide what else should happen with the generated PDF. Click **Actions/Automations** in the top right corner of the preview to define them.

* **Save to a file column** – store the PDF directly in a file column on the item.
* **Send via email** – send the PDF to the user who generated it, to addresses from a People/Email column, or to fixed addresses.

## 5. Automate the generation

So far you generate the PDF manually. To create it automatically, there are **two levels** — it helps to keep them apart:

### Option A: DocExport automation (what + when, inside DocExport)

Save your template and its actions as a **recipe**, then schedule it (e.g. every Wednesday). Give the recipe a clear name so you can find it later. See [Automations](/features/automations).

### Option B: monday automation (DocExport Action Block)

Here the trigger lives in monday's automation center, using the DocExport action block. Typical examples:

* When a button is clicked → generate document
* When a status changes → generate document
* When a date is reached → generate document

**Good to know — bulk limits:** When generating documents for many items at once, there's a maximum per run:

* **Saving to a file column** (via Actions): up to **200 documents** at once. To generate more, split them into batches of 200.
* **Downloading from the board view** (without the file column): up to **500 documents** in one go.

# PDF Download in Item Card

Generate a PDF directly from an item card on your board without ever opening the DocExport view. This is the fastest way to create a single item document on the fly: no automation, just a one-click download.

Perfect for when you only occasionally need a quick document for a single item at the push of a button.

The DocExport view inside the item card only shows **Item Level / Item Print templates** and always creates a preview for the item you are currently in.&#x20;

### Add the DocExport View to your Item Card

You only need to do this once. Afterwards, DocExport is available on the item cards of your board.

1. Open any item to bring up its item card.
2. Click on '**Add View'** via the **'+' icon** to add a new view to the item card.
3. Select '**Explore more views'**, search for **DocExport** and select it.

**Tip:** We recommend setting the DocExport view as your **Default View**, so it is always shown first whenever you open an item - no extra clicks needed.

### Generate and download a PDF for any item

1. Open any item on your board. The DocExport view now appears directly inside the item card.
2. Select a template from the dropdown. Only **Item Level templates** are listed here.&#x20;
3. DocExport instantly creates a real-time preview for the item you are currently in.
4. Once you are happy with the preview, click the **Download** button to save your PDF.

DocExport always remembers the **last template you selected**, so the next time you open an item the right template is already chosen.

That's it: a ready-to-use PDF in just a couple of clicks.

### Good to know

* Only **Item Level / Item Print templates** are available in the item card. Board Print and board-level templates are not shown here, as the view always refers to a single item.
* The preview always reflects the item you currently have open.
* Your last selected template is remembered for next time.
* **This is a manual, on-the-fly download.** If you want to send documents via email, save them to a file column, or generate them automatically (e.g. daily/weekly/monthly), take a look at [Actions](/features/actions) and [Automations](/features/automations).
* The item card view lets you generate and download PDFs from your existing or predefined templates, it does not replace creating a template. If you haven't done this yet, [set one up first and upload it.](/getting-started/item-level-template)


# Subitem Level from A-Z

Create a document that includes the information of a specific subitem of your board.

A **Subitem Level** document is built from a **single subitem** on your board, optionally combined with data from its **parent item**.

Possible use cases: product labels, product specification sheets, task sheets, shipping labels.

A subitem document works just like an [item document](/getting-started/item-level-template) - you create a template, upload it, generate and download. The only things that differ are the **placeholders** you use and the **automation trigger**. This page focuses on those differences.

### 1. Create your template

Create a Microsoft Word (`.docx`) template from scratch or reuse an existing document, and insert placeholders where your subitem data should appear.

#### Subitem placeholders

To pull the **value from a specific subitem** in your board, use the prefix `Subitem.` followed by the column title within two curly braces:

`{{Subitem.ColumnTitle}}`

Examples:

`{{Subitem.Status}}` – the subitem's status column\
`{{Subitem.Due Date}}` – the subitem's due date\
`{{Subitem.Product SKU}}` – the subitem's product number

#### Parent item placeholders

You can also include data from the **parent item** with the prefix `Item.` and the column title within two curly braces:

`{{Item.ColumnTitle}}`

Examples:

`{{Item.Name}}` – the parent item's name\
`{{Item.Order Nr}}` – the parent item's order number

#### General placeholders

`{{User.name}}` – name of the monday user\
`{{Board.name}}` – name of the monday board

### Example use case: Box Shipping label

In this example, you have a board containing orders and want to generate PDF labels for each subitem, which you can then print and attach to shipping boxes.

Each item contains client and order information, along with subitems representing the relevant product details. For each product subitem, you want to generate a label that combines information from both the subitem and its parent item.

### 2. Upload, generate & download

This works exactly as for an item document: open the **DocExport** view, click **Upload template**, then preview and **Download** your PDF. For the full walkthrough, including **Actions** (save to a file column, send by email), see [Item Level from A–Z](/getting-started/item-level-template).

### 3. Automate with monday

Subitem templates can be triggered straight from monday's automation center. After defining the "Actions/Automation" (e.g. save to file column and/or send via email) for your subitem template, create a new monday automation:

1. In your monday board, click **Automate** → **Create from scratch**.
2. Select your trigger: for example, **"When subitem status changes"**.
3. Add the DocExport action: search for **DocExport** and select **"Generate DocExport subitem document"**.
4. Choose your template and save.

# Board Level from A-Z

Create a document that includes the information of a whole board in a table view.

This guide walks you through the full journey of a **board-level document** — a report or table covering many items at once, such as a project report, timesheet or product list.

A **Board Level** document outputs the **whole board** (or filtered items) as a **table**.

### Pick your route

There are three ways to produce a board-level document — pick the one that fits:

* **Board Print (no template) -** Just select **Board Print** right inside DocExport, pick your grouping and columns, and you instantly get a clean, board-style snapshot of your data → Full guide: [Board Print](/getting-started/board-level-template/board-print).
* **Predefined templates** (e.g. a ready-made Project Report) → [Use a predefined template](/getting-started/predefined-template).
* **Your own template** — full design control with merge tables. Follow the steps below. ↓

### 1. Create your template (.docx)

Create your own template from scratch, or [customize an existing business document](https://youtu.be/mjM33dXW1os?si=JpuU3AVMlYOyFKin) — in **Microsoft Word (.docx)** format.

#### Add general placeholders

For board- or user-level data, add a placeholder within double curly braces:

`{{User.name}}` – name of the monday user\
`{{Board.name}}` – name of the monday board

#### Create the items table

To display the data from your board, insert a table with **two rows** — one for the headings and one for the items. The items row replicates automatically for every item in your document.

* Add `{{TableStart:Items}}` to the **first cell** of the items row.
* Add `{{TableEnd:Items}}` to the **last cell** of that row.
* Between them, add a placeholder for each column you want to show: `{{ColumnTitle}}` (the exact column name in double curly braces). For the item's name, use `{{Name}}`.

#### Group your items (optional)

By default, all items are listed one after another, **not** grouped like on your board.&#x20;

To keep your monday.com groups, wrap the **whole table** between the placeholders:

`{{TableStart:Groups}}` and `{{TableEnd:Groups}}`

You can also [group by **any status or people column**](https://youtu.be/TdBTKctKgMg?si=RBQU1NjLs6qB_cME\&t=504) instead of your board groups by changing the placeholder to "`GroupBy`" and add the name of the specific column. if you want to group by 'Status', it would be:

`{{TableStart:GroupByStatus}}` and `{{TableEnd:GroupByStatus}}`

#### Add subitems to your table (optional)

You can nest a **subitem table inside the items loop** to list each item's subitems beneath it — perfect for project reports or invoices with line items. Place a `{{TableStart:SubItems}}` … `{{TableEnd:SubItems}}` loop **inside** the `{{TableStart:Items}}` … `{{TableEnd:Items}}` loop. See [Subitem Table](/template/subitem-table) for the full how-to.

#### Go further with your table

The same table logic supports a lot more. Reach for these when you need them:

* **Sort items** the way you want → [Sort by](/template/sort-by)
* **Filter items**, including advanced filtering → [Board Level Filter](/template/board-level-filter)
* **Pull items from another board** via its Board-ID → [Items from other Boards](/template/items-from-other-boards)
* **Dynamic tables** that adapt their columns → [Dynamic Tables](/features/dynamic-tables)
* **Charts & graphs** from your board data → [Charts](/template/charts)

### 2. Upload your .docx template to DocExport

1. Open the **DocExport** view in your board.
2. Click **Upload template** and select your `.docx` file.

### 3. Generate & download your PDF

1. DocExport creates a real-time preview containing all your items.
2. Need only specific items? Apply a [board filter](/template/board-level-filter) to narrow the report down.
3. When you're happy with the result, click **Download** in the top right corner to save your PDF.

### 4. Set up Actions: what happens with the PDF

Click **Actions/Automations** in the top right corner of the preview to decide what should happen with the report:

* **Save to a file column** – store the PDF on your board.
* **Send via email** – to yourself, to addresses from a People/Email column, or to fixed addresses.

### 5. Automate the generation

Board reports are often most useful on a schedule. Save your template and actions as a **recipe** and have it run automatically — e.g. a report emailed **every Monday** or on the 1st of each month. See [Automations](/features/automations).

# Board Print

The **Board Print** is the fastest way to create a board-level document - **no template needed**. DocExport turns your board view into a tabular report automatically: grouped and filtered to your criteria, including all your data, items and status colors.

A typical example: *"all tasks that are overdue, grouped by status."*

### Get started using the Board Print

You decide exactly which items end up in the board print by combining grouping and filtering. A few examples:

* All tasks that are **overdue**, grouped by status
* All items **due next week** whose status is not "In Progress"
* All tasks **created last month** whose status changed to "Stuck"
* The **sum of deals**, grouped by status
* …and many more.

### How to use the Board Print

1. Open the **DocExport** view and select **Board Print** from the *Select template* dropdown. *(It's usually shown first by default.)*
2. **Group your items.** Choose how the report should be grouped - by your monday.com groups, or by any **status** or **people** column on your board.
3. **Choose your columns.** Tick the columns you want to include in the table. *For the best-looking result, pick up to 10 columns.*
4. **(Optinal) Filter your board.** Use monday.com's native filter inside the DocExport view to narrow the report down to exactly the items you need, then apply it. See [Board Level Filter](/template/board-level-filter) for more options.
5. **Preview & download.** DocExport builds a real-time preview of your report. When you're happy with it, click **Download** in the top right corner to save it as a PDF.

### Distribute & automate

Right from the preview, click **Actions/Automations** to do more than just download:

* **Actions** - send the report by email or save it to a file column. See [Actions](/features/actions).
* **Automations** - generate the report on a schedule, e.g. a **daily, weekly or monthly** report. See [Automations](/features/automations).

### Customize the design

Board Print already picks up your board's colors and looks. If you want to go further - change fonts, spacing, add a logo or footer - click **Customize template** in the top right corner of the preview to download the report as a Word file and adapt it. See [Branding & design](/template/branding-and-design) for all options.

# Use a predefined template

The fastest way to a polished document - without building anything yourself. DocExport ships with **ready-made templates** for the most common use cases. Pick one, match it to your board, and you're done.

Built-in examples include **Event Tickets with QR codes, Quotes, Invoices, Shipping Notes, Project Reports** and more.

### How to use a predefined template

1. **Select a template.** Open the **DocExport** view and pick a template from the *Select template* dropdown. You'll get a live preview right away — or browse the full set first in our [Template Gallery](https://www.docexport.com/template-gallery/).
2. **Match the columns.** Assign each field in the template to the matching column on your monday.com board. If your board already has columns with the **same names** as in the template, DocExport matches them automatically — you only adjust the rest.
3. **Preview & download.** DocExport builds a real-time preview from your data. *(For an item-level template, pick the item in the dropdown next to the preview.)* Then:
   * **a)** Download it as is with the **Download** button, or
   * **b)** click **Customize template** to download it as a Word file and adjust the design — colors, fonts, logo. See [Branding & design](/template/branding-and-design).
4. **Distribute & automate.** Click **Actions/Automations** to send the document by email, save it to a file column, or generate it automatically on a schedule. See [Actions](/features/actions) and [Automations](/features/automations).

Create any type of document you need, with fully customizable templates and your own branding. The only limit is your imagination.

## Create your own template

Feel free to create your own template from scratch or customize one of your existing business documents, such as quotes, invoices, reports and the like. Either way, all templates must be in **Microsoft Word format (.docx)**.

### How does it work?

#### 1. Create a .docx file.

#### 2. Board Level or Item Level?&#x20;

Decide on what kind of information you want to output in your document (this determines the kind of placeholders you will need to use in the next step):

### Use your own branding

In addition to the data you want to display, you can also customize the design of the template. To make these adjustments, you can simply use all the functions that Microsoft Word offers.

These are general placeholders you can use in your docx templates.

* **`{{Item.ColumnTitle}}`** -> General placeholder format for item-level documents. Replace 'ColumnTitle' with the actual title of your board column\
  Example: Column 'Due Date' would be {{Item.Due Date}}
* **`{{Item.Name}}`** -> Item name or first column of your board
* **`{{Today}}`** -> Date of document creation (e.g. 24/12/2024)
* **`{{Now}}`** -> Time of document creation (e.g. 22:30)\
  **`{{Now | hh:mm tt}}`** -> Different format (e.g. 10:30 pm)
* **`{{Board.Name}}`** -> Name of your monday board
* **`{{Board.Description}}`** -> Description of your monday board
* **`{{Item.GroupName}}`** -> Name of the group of the item (e.g. New Tasks)
* **`{{User.Name}}`** -> Name of monday user
* **`{{User.Email}}`** -> Email address of monday user
* **`{{User.Titles}}`** -> Job title of monday user (from profile)

### Timeline column placeholders

Replace 'Timeline' with the actual title of your timeline column. If your column title is 'Actual Planned', the placeholder would be {{Item.Actual Planned}}

* **`{{Item.Timeline}}`** -> Start and End Date (e.g. 24/12/2024 - 31/12/2024)
* **`{{Item.Timeline#Start}}`** -> Only the start date from a timeline column (e.g. 24/12/2024)
* **`{{Item.Timeline#End}}`** -> Only the end date from a timeline column (e.g. 31/12/2024)

### Date column placeholders

Replace 'Date' with the actual title of your date column. If your column title is 'Due Date', the placeholder would be {{Item.Due Date}}

* **`{{Item.Date}}`** -> Date + time from your date column with standard formatting (e.g. 24/12/2024 09:30) If no time is selected, only the date will be shown
* **`{{Item.Date#Time}}`** -> Only the time if time is selected in the date column
* **`{{Item.Date#Date}}`** -> Only the date of the date column (e.g. 24/12/2014)

### Date formatting

You can easily change the format of your dates.&#x20;

* **`{{Item.Date | dd.MM.yyyy}}`** -> 24.12.2024
* **`{{Item.Date | yyyy-MM-dd}}`** -> 2024-12-24
* **`{{Item.Date | D}}`** -> Tuesday, December 24, 2024

### File column (images)

Replace 'Files' with the actual title of your file column. If your column title is 'Picture', the placeholder would be {{Image(100;0):Item.Picture}}

* **`{{Image(100;0):Item.Files}}`** -> Image with a width of 100 pixels
* **`{{Image(50;0):Item.Files}}`** -> Image with a width of 50 pixels
* **`{{Images(50;0):Item.Files}}`** -> Multiple images next to each other

* **`{{Files#Text}}`** -> File name as text (e.g. logo-v2.png or Invoice123.pdf)\
  Replace 'Files' with the actual title of your file column, e.g. {{Documents#Text}}
* **`{{Files#Text|CommaToLineBreak}}`** -> File name as text (e.g. logo-v2.png or Invoice123.pdf)\
  Each file name will start on a new line.

### QR code placeholder

This placeholder creates a QR code with the link to the specific item. You can define the size by changing the first number in brackets.

* **`{{Image(100;0):QR.ItemUrl}}`** -> QR code with a width of 100 pixels and link to the item Url
* **`{{Image(50;0):QR.ItemUrl}}`** -> QR code with a width of 50 pixels and link to the item Url

This placeholder creates a QR code with any link.\
Replace 'Link' with the actual title of your link column. If your column title is 'Client Website', the placeholder would be {{Image(100;0):QR.Client Website}}

* **`{{Image(100;0):QR.Link}}`** -> QR code with a width of 100 pixels and link to the Url in your link column.

### Status column placeholders

Replace 'Status' with the actual title of your status column. If your column title is 'Project Phase', the placeholder would be {{Item.Project Phase}}

* **`{{Item.Status}}`** -> Label of your status column (e.g. Done or Stuck)
* **`{{Item.Status | WithColor}}`** -> Label with background highlight
* **`{{Item.Status | WithTextColor}}`** -> Label with text color from status label (e.g. <mark style="color:green;">**Done**</mark> or <mark style="color:red;">**Stuck**</mark>)

### Location column placeholders

Replace 'Location' with the actual title of your location column. If your column title is 'Address', the placeholder would be {{Item.Address}}

* **`{{Item.Location}}`** -> Full name and address
* **`{{Item.Location#Address}}`** -> Only address
* **`{{Item.Location#Country}}`** -> The country from location column (e.g. United Kingdom)
* **`{{Item.Location#CountryShort}}`** -> The country code from location column (e.g. GB)
* **`{{Item.Location#City}}`** -> The city from location column (e.g. London)

### People column placeholders

Replace 'People' with the actual title of your people column. If your column title is 'Task Owner', the placeholder would be {{Item.Task Owner}}

* **`{{Item.People}}`** -> Full name of monday user in the people column
* **`{{Item.People#Emails}}`** -> Email addresses of assigned people
* **`{{Item.People#PhoneNumbers}}`** -> Phone numbers of assigned people
* **`{{Item.People#Count}}`** -> Number of assigned people in people column
* **`{{Item.People#Titles}}`** -> Job title of user (from profile)

### Creation log column placeholders

Replace 'Creation log' with the actual title of your creation log column. If your column title is 'Created', the placeholder would be {{Item.Created}}

* **`{{Item.Creation Log}}`**
* **`{{Item.Creation Log#Name}}`**&#x20;
* **`{{Item.Creation Log#Date}}`**
  * Also works with [date formatting](/template/customization/format-date-and-time):
  * **`{{Item.Creation Log#Date | dd.MM.yyyy}}`**
* **`{{Item.Creation Log#DateTime}}`**

### Link column placeholders

Replace 'Link' with the actual title of your link column. If your column title is 'Website', the placeholder would be {{Item.Website}}

* **`{{Item.Link}}`** -> Url as text format (e.g. https//[www.docexport.com](http://www.docexport.com))
* **`{{Item.Link#Text}}`** -> Custom text from your link column (e.g. Link to Website)
* **{`{Hyperlink:Link}}`** -> Custom text from your link column and it's clickable in the document (e.g. [Link to Website](https://monday.com/marketplace/10000360))

### Formula and mirror column placeholders

Replace 'Formula' with the actual title of your formula column. If your column title is 'Total Hours', the placeholder would be {{Item.Total Hours}}

* **`{{Item.Formula}}`** -> Content from your formula column
* **`{{Item.Mirror}}`** -> Content from your mirror column. Make sure to replace 'Mirror' with the title of your column

### Checkbox Column

Replace 'Column Title' with the actual title of your checkbox column. If your column title is 'Approved', the placeholder would be {{Checkbox:Approved}}

* **`{{Checkbox:Column Title}}`** -> Image of a checkbox

### Special Subitem Placeholders

Replace 'Column Title' with the actual title of your subitem column. If your column title is 'Payment Amount', the placeholder would be {{LastSubitem.Payment Amount}}\
Note: This only works with Item-Level documents if you want to add information from one specific subitem to your Item-Level documents.\
If you want to add a table of all related subitems, follow these instructions: [Subitem Table](/template/subitem-table)

* **`{{FirstSubitem.Column Title}}`** -> Content from your first subitem (the top one)
* **`{{LastSubitem.Column Title}}`** -> Content from last subitem (e.g. {{LastSubitem.Name}} gives you the name of the last subitem)

### Special Dropdown Placeholders

A monday dropdown column can have multiple labels. With the normal placeholder {{Dropdown}}, the labels would be separated by comma. With our special placeholder, you can force the labels into the next line:

Replace 'Dropdown' with the actual title of your dropdown column. If your column title is 'Categories', the placeholder would be {{Categories}}

* **`{{Dropdown}}`** -> Label 1, Label 2, Label 3
* **`{{Dropdown|CommaToLineBreak}}`** -> \
  Label 1\
  Label 2\
  Label 3

### Special "Summary" Placeholder

This placeholder includes your summary as an image.

* `{{Image:Column Title}}` -> Summary image of status column (e.g.                 )

If your Mirror column is called "Progress", the placeholder would be `{{Image:Progress}}`

## Board level documents

The following section is specifically for board-level documents like reports.

### Special Item Placeholders (for use in Board Level document)

Replace 'Column Title' with the actual title of your item column. If your column title is 'Payment Amount', the placeholder would be {{FirstItem.Payment Amount}}\
Note: This only works with Board-Level documents if you want to add information from the first item in the board to your document (e.g. Invoicing use case).\
If you want to add a table of all items, follow these instructions: [Board Level Template](/getting-started/board-level-template)

* **`{{FirstItem.Column Title}}`** -> Content from your first item (the top one)

### Show filter condition (for use in Board Level document)

Outputs the filter condition on your board if you use [Board Filter](/template/board-level-filter).

* **`{{Board.ItemFilterCondition}}`** -> e.g. Status Overdue

### Column summary

Replace 'ColumnTitle' with the actual title of your column. If your column title is 'Total Hours', the placeholder would be {{Sum\[Total Hours]}}

* **`{{Sum[ColumnTitle]}}`** -> Sum of a **group** for a specific column (e.g. 123 hours)
* `{{Sum[ColumnTitle]|N2}}`  -> Sum of a group with [numbers formatting](/template/customization/format-numbers) (e.g. 123.00)
* **`{{Board.Sum[ColumnTitle]}}`** -> Sum of the **board** for a specific column
* `{{Image:Sum[Status]}}` -> Summary image of status column (default 80px width)\
  (e.g.                 )
* **`{{Image(50;0):Sum[Status]}}`** -> Summary image of status column with width of 50px\
  (e.g.         )

## Insert charts into your document

You can generate charts based on data from your monday.com board by using DocExport. These charts can be output on your document by using specific placeholders.

### **Insert placeholder for your chart**

To keep it as simple as possible, we display the correct placeholder for your charts directly in the overview of your generated charts. You can simply copy and paste into your Word document.

In general the placeholder looks like this:

`{{Chart(450;300):NameofChart}}`

**Note**: Please exchange *NameOfChart* with the name of your actual chart. See section [working with placeholders](/template/placeholder-directory) if you need more explanation.&#x20;

Example:\
If your chart name is "Task Status", the placeholder would be `{{Chart(450;300):Task Status}}`

### **Change the size of your chart**

We also suggest a size in the placeholder that we display. This is the number in brackets, e.g. *(450;300)*.

But you can also define the size of the chart yourself. To do this, change the part in brackets after *Chart*:

&#x20;`{{Chart`**`(450;300)`**`:Task Status}}`

The "450" in the placeholder defines the image's width in pixels. The second value is the height.

Enter the size of the image in pixels here, separated by a semicolon.&#x20;

If you change the `{{Chart(`**`450`**`;300):Task Status}}` to `{{Chart(`**`225`**`;150):Task Status}}`, it's half the size on the final document.

### **Add more than one chart**

Of course you can add more than one chart to your document. Feel free to include as many charts and report statistics as you like. The only limit is you!


# Formulas

You are using formula columns in your Monday.com boards? Then simply output them on your PDF documents as well.

## Formula Columns

Monday.com [Formula Columns ](https://support.monday.com/hc/en-us/articles/360001235445-The-Formula-Column)are a great and easy way to calculate nearly anything you want. The different functions make you forget that you're actually not working with Excel.

That's where we join in! Making it possible for you to output all Formula Columns on your documents just as easily.

**Note:** Formula Columns are only available for the DocExport [Standard](https://www.docexport.com/pricing/) plan or any higher plan.

## Output Formula Columns on your documents

All you need is the name of the respective column in the board! This name forms the placeholder that you insert into your document and the content of your Formula Column will be output on your generated documents.

#### **Add a placeholder for your Formula Column**

Just put the name of your column in curly brackets and add this placeholder to your DOCX template. If the column is called “Total price”, you add this placeholder to your Word template:

`{{Total price}}`

# QR Code

Create QR codes in your documents with links to the board or the specific item.

## Use QR codes in your documents

There are two options of QR codes with DocExport:

1. QR code with link to item (item Url)
2. QR code with link to the Url in any link column

A typical use case is inventory management - if you want to create a quick link to a specific item and place it in the warehouse.

**Option 1: Add QR code with link to the item in monday.com**

Use this placeholder to create a QR code for the specific item and place it in your docx template:

`{{Image(100;0):QR.ItemUrl}}`<br>

**Option 2: Add QR code with link from a link column**

Use this placeholder to create a QR code which links to the link in any link column. For example the link to the client website.

`{{Image(100;0):QR.Column Title}}`

If the title of your link column is 'Client Website', the placeholder would be `{{Image(100;0):QR.Client Website}}`

#### **Change the size of the QR code**

You can also define the size of the QR code. To do this, change the part in brackets after *Image*:

&#x20;`{{Image(100;0):QR.ItemUrl}}`

The "100" in the placeholder defines the image's width in pixels. &#x20;

Enter the size of the image in pixels, separated by a semicolon. If the second value is specified with a 0, the image will be output in aspect ratio.

If you change the `{{Image(100;0):QR.ItemUrl}}` to `{{Image(200;0):QR.ItemUrl}}`, it's double the size on the final document.

You can also specify the size in percent: `{{Image(50%;50%):QR.ItemUrl}}`.


# 1D Barcode

Generating a 1D barcode in your .docx template

This article explains how to turn a column from your monday.com board into a **scannable 1D barcode** in the document that DocExport generates. It supports two barcode types: **Code 39** and **Code 128**. We first help you decide which one you need, then walk you through the setup once, side by side, for both.

Barcode generation works entirely through free barcode fonts: you write the barcode value as text in a monday.com column and when DocExport generates the document it converts that value into a font that a scanner can read as a barcode.

**Board requirement:** You need a column that holds the barcode values. This works with both a **Text column** and a **Numbers column**.

### Which barcode type do you use/need?

Before you set anything up, decide which code is used for your use case. The two types work differently:

* **Code 39** maps each character to a **fixed** bar pattern, so the font alone can render it. You mark the start and end yourself with an asterisk (`*`), and there is no checksum. It only supports **digits, uppercase letters, and a few symbols** (`- . $ / + %` and space). It is the simplest option and needs no extra tools - but it produces wider codes and can't store lowercase letters.
* **Code 128** is more capable but needs one extra step. It supports the **full ASCII range including lowercase letters**, is much more **compact** (it can pack two digits into a single symbol), and includes a **mandatory checksum** for more reliable scanning. The catch: a font cannot calculate the required checksum and start/stop characters, so you must run your text through an **encoder** first and store the already-encoded string in your monday.com column.

**Rule of thumb:** If you just need to label and scan simple products and control your own (uppercase/numeric) codes, it´s almost always **Code 39** that is being used. As soon as it involves shipping/logistics, standardized labels, long or mixed-case data, or tight space, **Code 128** is used.

### Step-by-step setup (for both codes)

The steps below work for either barcode type. Where Code 39 and Code 128 differ, you'll see both side by side.

#### Step 1 – Download and install the font

Download the free font from Google Fonts and install it on the computer where you edit your template. The only difference is *which* font you install:

On the Google Fonts page, click **Get font → Download all**, unzip the file, and install the `.ttf` file (double-click → *Install*).

#### Step 2 – Prepare the value in your monday.com column

This is the other main difference between the two codes:

**For Code 39:** simply enter your value in the column. Remember that only **digits, uppercase letters**, and `- . $ / + %` / space are allowed - no lowercase letters.

**For Code 128:** your column must already contain the data **including the start, stop, and checksum characters**. A font can't calculate these, so encode your text first using an **official encoder.**&#x20;

Enter your plain text, **copy** the encoded output, and paste exactly that into your monday.com column. Examples:

The first character (`Ì`) is the start character (Start B), the last (`Î`) is the stop character, and the one right before it is the calculated checksum.

&#x20;Copy the encoded string **exactly** (via copy & paste) - do **not** retype it. The control and check characters are special characters such as `Ì` or `Î`, and a single wrong character makes the code 128 unreadable.

The examples above are encoded as **Code Set B** and are valid and scannable. For pure digit strings, the encoder may output an **equivalent, slightly shorter** variant (via Code Set C), both read back to the same value. Always use what the encoder gives you.

#### Step 3 – Insert the placeholder into your template

In both cases, add the placeholder for your barcode column at the desired position in your `.docx` template:

#### Step 4 – Add start/stop characters (Code 39 only)

This is the second difference:

**For Code 39**, place an asterisk (`*`) before and after the placeholder. Code 39 needs a defined start and stop marker so the scanner knows where the code begins and ends. The font does not add it automatically. Without the asterisks, the printed code looks like a barcode but cannot be scanned.

**For Code 128**, leave the placeholder as is. The start and stop are already part of the encoded string from your column, so no asterisks are added.

#### Step 5 – Apply the barcode font

Select the **entire** expression and set the font:

**Tip – Minimum size:** We strongly recommend a minimum font size of **36 pt** so the code scans reliably when printed (on low-resolution 203 dpi thermal/label printers, use exactly 24 or 30 pt). The more characters the code contains, the wider it becomes - long values need either a larger size or more space on the page.&#x20;

Always print and scan a test label before producing a whole batch - do this once after you've set up the template to confirm everything works, then you're good to go.

**One more tip:** Leave a **quiet zone:** some empty white margin before and after the barcode. As a rule, keep at least 10× the width of the narrowest bar clear on each side; in practice, about 3–5 mm (roughly ⅛–¼ inch) of empty white space left and right is a safe minimum. If the code sits right against text or a border, the scanner can't capture it cleanly. When testing on a screen you may also run into read issues (glare, anti-aliasing) - when in doubt, print the code out briefly.

#### Step 6 – Embed the font when saving the .docx

So the barcode is generated correctly even when the font is not installed on the DocExport server, you must **embed the font in the .docx file when saving the document**. This applies to both codes.

#### Step 7 – Generate the document in DocExport

Generate the document as usual via DocExport. The result now shows a **scannable barcode** in place of the placeholder, containing the value from your monday.com column.

Your colors will automatically be adopted from the settings in your board and displayed on your document via a placeholder. If you use purple, your document will also be colored purple. Do you prefer green? Then we output green. You are free to choose.

# Custom Fonts

Do you like doing things your way? Then don't let restrictions on the font of your documents stop you! With DocExport you can use any font you like.

## Embedding Custom Fonts

Use custom fonts while generating documents from your monday.com boards.

If you want to use any non-standard custom font, that is not available by default, you can simply embed it in your .docx template and use it anyway. When you embed such custom fonts into your document, the online conversion to pdf will use these fonts reliably&#x20;

**Note:** By embedding custom fonts, the .docx files usually become slightly larger. Therefore, the upload limit is increased to 5MB for the DocExport [Standard](https://www.docexport.com/pricing/) or any higher plan (compared to 1MB for the free plan).

### **Embed fonts using Windows**

1. Open the template in Microsoft Word on Windows
2. Open the "File" tab, click on "Option&#x73;*"* and select "Save".
3. Scroll down to the bottom of the menu. Under "Preserve fidelity when sharing this representation", select the option "Embed fonts in the file".&#x20;
4. You will find two more checkboxes for this option. We recommend selecting "Do not embed common system fonts" and not selecting "Embed only characters". See section *Recommendations* for an explanation.
5. Click "Ok" and save your document.&#x20;

### **Embed fonts using Mac**

1. Open the template in Microsoft Word on your Mac
2. In the top left, click on "Word" and "Preferences..."
3. Select "Save" in the dialog box (under Output and Sharing).
4. In the section "Font Embedding", you can select to embed fonts in your file. We recommend to **not** tick the option "Only embed the characters used in the document"
5. When you save the file, the fonts used in it will be embedded.

## Recommendations for embedding fonts

1. Use OpenType (.OTF) or TrueType (.TTF) and avoid embedding Postscript fonts (.PFB, .PFM), if possible. In general, OpenType fonts need the least storage space.
2. Avoid using "Embed only the characters". Embedding all characters in a font is better, because that way another user can also successfully edit and upload the file again.
3. Select "Do not embed common system fonts". While this option increases the file size, it is still best for editing the document on different devices but keeping the same font without any problems.

## Troubleshooting

Embedding your fonts is not working?

This might be due to restrictions by the font creator. The font creators can set several options for their fonts, including "Non-embeddable". Unfortunately, if they go for this option, the font cannot be embedded.

Here is how you can check which level of embedding your installed font allows.

### **Windows**

1. Go to the Windows control panel and click on "Fonts".
2. Select the font you want to embed. This shows the settings in the lower right corner.

### **Mac**

1. Go to the "Fonts" app on your Mac and select the font you want to embed.&#x20;
2. Click on the info button at the top right corner and find the information in the panel on the right under "Usage" (this works for many fonts, but unfortunately not all).

# Format date & time

Operating in different countries and languages? Display your time and date columns in a format that suits you best!

## Format date and time columns

By default, the format of the date depends on the language/ country setting in your monday.com account.

But Microsoft Word offers a lot of additional options to format dates and times. To change the default output of your date or time, you can use these Microsoft Word formatting options in your DOCX template.&#x20;

This way you can format any date/hour/time column and also [number column](/template/customization/format-numbers) from your own monday.com board.

### **Date Column Format**&#x20;

To format your placeholder, add a straight line (pipe symbol) after the name of your placeholder and then add the format string you want to use.

e.g. **`{{Item.Date | D}}`** for: **Tuesday, December 24, 2024**

To insert today's date in your documents, you can simply use the term "Today" instead of referring to a column title.

To insert the time that the document was created, us the placeholder {{Now}}

To insert the date and time, simply combine both placeholders:

This way you can format any number column and also [date/hour/time](/template/customization/format-date-and-time) column from your own monday.com board.

### **Numeric Format**

To format your placeholder, add a straight line after the name of your placeholder and then add the format string you want to use.

e.g. **`{{Score|P}}`** for: **100.00%**\
or **`{{Total price|C2}}`** for: **$1,230.46**\
or **`{{Total price|N2}}`** for: **1,230.46**

On Item-Level, it's the same logic:

e.g. **`{{Item.Score|P}}`** for: **100.00%**\

## Insert images into your document

You can insert images stored in your monday.com board’s File column by using specific placeholders.

### **Insert image from board (file column)**

Use this placeholder to output the image you saved in your monday.com board:

**Note**: Please exchange *TitleOfFileColumn* with the name of your actual file column. See section [working with placeholders](/getting-started/create-templates-1) if you need more explanation.&#x20;

Example:\
If your file column title is "Picture", the placeholder would be `{{Image(100;0):Item.Picture}}`\
*If your file column title is "Photos", the placeholder would be* `{{Image(100;0):Item.Photos}}`

#### **Change the size of your image**

You can also define the size of the image. To do this, change the part in brackets after *Image*:

&#x20;`{{Image`**`(100;0)`**`:Item.Files}}`

The "100" in the placeholder defines the image's width in pixels. &#x20;

Enter the size of the image in pixels here, separated by a semicolon. If the second value is specified with a 0, the image will be output in aspect ratio.

If you change the `{{Image(`**`100`**`;0):Item.Files}}` to `{{Image(`**`200`**`;0):Item.Files}}`, it's double the size on the final document.

You can also specify the size in percent: `{{Image`**`(50%;50%)`**`:Item.Files}}`

#### **Insert images in tables (board level or subitems)**

If you want to output images within a table, you don't need the item. prefix.\
In this case, you would use `{{Image(100;0):Files}}` instead of `{{Image(100;0):Item.Files}}`

### **Insert multiple images from board (file column)**

If you've saved multiple images in a single file column, you can also output it next to each other.

Use this placeholder to output multiple images from a file column:

`{{Images(100;0):Item.NameOfFileColumn}}` (It's the same placeholder like before, but with 'Image**s**' instead of 'Image')

**Pro tip:** By default there is no **spacing between multiple images** when wrapping to a new line. But there is a workaround:

1. Create a table with only one row and one column in your .docx file.
2. Insert the placeholder in the table.
3. Click on the "Styles Pane" assigned to the placeholder and select "Modify".
4. Click on "Format" in the bottom left corner and select "Paragraph".
5. Set the line spacing to 1.5 and click on "OK" to save it.

6. Perfect, now one last step to make the table virtually invisible.\
   Go to "Table Design" and set the setting to "no borders" so that the edge of the table does not appear on the document. Done!

#### **Apart from this: Insert a static image**

You can also add any image as a permanent part of the document, e.g. your logo. If you want to include a static image, you can insert it directly into the Word file.

For example your company logo in the header or footer section.

#### **Insert profile picture from people column**

Use this placeholder to output the user profile picture from a people column:

If the column name of your people column is "Owner", the placeholder would be {{Image(100;0):Item.Owner}}

### **FAQ**

#### **What's the maximum image file size supported in MB?**

DocExport reduces the image file size automatically. You don't have to reduce the file size in your file columns.

## Working with item update template

## Create a template & table from scratch

Insert a table in Microsoft Word (or Google Docs). Usually, you only need two rows: one for the headings and one for the placeholders.

The second row (left column) needs to start with the placeholder **`{{TableStart:Updates}}`** and ends (right column) with **`{{TableEnd:Updates}}`**\
The second row will automatically replicate itself by the numbers of subitems in the exported PDF.<br>

In between, insert the placeholders you want to use in your final document:

* **`{{OnlyDate}}`** -> 24/12/2025
* **`{{Date}}`** -> 24/12/2025 13:30
* **`{{User}}`** -> John Doe
* **`{{Body}}`** -> Update Text (plain text)
* **`{{Body_Html}}`** -> Update Text (with HTML and images)

This is an example of how the structure looks like:

## Subitem Updates

If you want to output the updates for all subitems as well, you can use the same logic, but wrap everything between **`{{TableStart:Subitems}}`** and **`{{TableEnd:Subitems}}`**

DocExport will automatically generate a table for each subitem to make it clear and structured.

The table looks like this:

## Item updates without table

You can also generate updates without a table using this structure:

If you have two updates in your item, the result would look like this:

## Updates with replies

This is the syntax if you want to include the replies for item updates as well:

## Include only the newest item update

If you only want to include the newest update (the first in the update list) in your documents, you don't need to create a "Table:Start/Table:End" loop.

Insert these placeholders anywhere in your template:

* **`{{FirstUpdate.Body_Html}}`** -> Update Text (with HTML and images)
* **`{{FirstUpdate.Body}}`** -> Update Text (plain text)
* **`{{FirstUpdate.Date}}`** -> 24/12/2025
* **`{{FirstUpdate.Date | MM/dd/yyyy}}`** -> 12/24/2025 (learn more about [Date Formatting](/template/customization/format-date-and-time))
* **`{{FirstUpdate.Date | dd.MM.yyyy}}`** -> 24.12.2025 (learn more about [Date Formatting](/template/customization/format-date-and-time))
* **`{{FirstUpdate.User}}`** -> John Doe (user who created the last update)
* **`{{Image(15;0):Update.UserSmall}}`** -> Profile picture\
  The "15" defines the width of the profile picture in pixels. Change it to make the size larger or smaller.&#x20;

You can also load the oldest update by replacing "First" with "Last" in placeholders. For example: **`{{LastUpdate.Body}}`**

This will return the last update in your item update list.


# Mirror Columns

Making your life easier by using Mirror Columns? Good news: You can output them just as easily on your document!

## Mirror Columns&#x20;

Monday.com [Mirror Columns ](https://support.monday.com/hc/en-us/articles/360001733859-The-Mirror-Column)are a great way to store the same information in multiple boards across your account and update separate columns without doing double the work.&#x20;

By connecting your boards and mirroring information from one or more boards to another, you can easily make changes to any board and the changes will be reflected in the other board(s) as well.

## Output Mirror Columns on your documents

To round things off, you can output your Mirror Columns on your documents via DocExport.&#x20;

And the best part?

All you need is the name of the respective column in the board! This name forms the placeholder that you insert into your document and the content of your Mirror Column will be output on your generated documents.

### **Add placeholder for your Mirror Column**

Just put the name of your column in curly brackets and add this placeholder to your DOCX template. If the column is called “Mirror”, you add this placeholder to your Word template:

**`{{Mirror}}`** for Board Level Documents (table with several items)

or

**`{{Item.Mirror}}`** for Item Level Documents

In this example: `{{Course Status}}`

# Numbering

Number your items on your documents by adding a single placeholder. Sounds super easy? It is!

## Output Position Numbers

You can easily number the items in your invoices, offers, delivery notes, etc. All you need is a single placeholder, that you add to your documents.

**Add "Numbering" Placeholder**

Use this placeholder to add a numbering for your subitems or items:

**`{{Numbering}}`**

#### **Item Level: Placement of placeholder**

When you create a document on item level (e.g. Quote, Invoice, Shipping Order,etc.), your subitems will be numbered.

If you want to add numbering to your subitems, you need to add two more specific placeholders. These placeholders output a loop across all subitems and can thus retrieve and output them on the document.

In this case, you need to add **{{TableStart:SubItems}}** and **{{TableEnd:SubItems}}** to your document.

This type of placeholder only serves a technical purpose and is not displayed as content on the document.

All other placeholders, that you want to use in reference to your subitems (e.g. the numbering), must be put between those two placeholders.

#### **Board Level: Placement of placeholder**

When you create a document on board level, your items will be numbered.&#x20;

In this case, you need to add **`{{TableStart:Items}}`** and **`{{TableEnd:Items}}`** to your document and put `{{Numbering}}` between those two placeholders.

# Subitem Table

Create tables with your subitems on your documents. Typical use cases are invoices, quotes, meeting minutes on subitem level and so on.  If you have questions, please reach out to us.

## Subitem Summary

If you want to include the summary of subitems in your table (e.g. total number of hours), please use the native monday.com feature 'Show summary on parent item':

You can now use the column name from the parent item. In our example, we renamed it to 'Planned Effort Summary':

The placeholder is now in the item level and therefore, the structure is `{{Item.ColumnTitle}}`, in our case **`{{Item.Planned Effort Summary}}`** (please make sure to add the prefix Item. before the column title).

You can now insert this placeholder in a third row in your table:

## Combine Item and Subitem Table&#x20;

You can also combine the subitem table with item-level placeholders in one document and create more complex project reports.

To use both tables within a document, it is important to nest the Subitem table loop **inside** the Item table loop.

This means that the placeholders `{{TableStart:Items}}` and `{{TableEnd:Items}}` should **surround** the entire Subitem table, which is generated between the placeholders `{{TableStart:SubItems}}` and `{{TableEnd:SubItems}}`.

Follow these steps to properly insert both the Item and Subitem tables into your document:

### 1. Start the Item Loop

Insert the `{{TableStart:Items}}` placeholder where you want the list of Items to begin and insert your item table.

### 2. Nest the Subitem Loop Inside

Immediately after the item table, insert the `{{TableStart:SubItems}}` placeholder to start the Subitem loop.

Add your Subitem fields here.

Then close the Subitem loop with `{{TableEnd:SubItems}}`.

**Important:** The entire Subitem Table must be inside the Item loop!

### 3. End the Item Loop

Place the `{{TableEnd:Items}}` placeholder to finish the Item loop.

### 4. Add Grouping (Optional)

If you want the output to be grouped the same way as it appears in your board:

* Place the grouping placeholder `{{TableStart:Groups}` **before** `{{TableStart:Items}}`
* Close the grouping  `{{TableEnd:Groups}}` **after** `{{TableEnd:Items}}`


# Items from other Boards

Include items from other boards in your documents using 'Connect'-Columns'

**Example 1:** You can create a Project Report from a high-level portfolio and include connected risks from a risk board as a table.

**Example 2:** You can create a Quote/Proposal and include services and products from connected 'Pricelist' boards.

### **Starting from scratch**

In between, insert the placeholders you want to use from your connected board. The logic of the placeholder is: **`{{ColumnTitle}}`**

If your column from the connected board is named 'Total Cost', the placeholder would be **`{{Total Cost}}`**, 'Description' would be **`{{Description}}`** and so on. The item name is always **`{{Name}}`.**

## Example use-case: items from other boards

For this example, we want to generate a Quote with items from other boards. The same logic applies if you want to generate project reports and include risks from a risk board, among others.

### **Let's start with the workflow example:**

Imagine, we are a producer of Garden Sheds and sell Products (Garden Sheds) and Services (Installation, Painting, etc.).

For that reason, we have three boards:

1. **Deals** (our main board to generate Quotes)
2. **Products** (our product catalogue - connected to our Deals Board)
3. **Services** (our service catalogue - connected to our Deals Board)

### **Board 1 - Deals**

This is how the board 'Deals' is structured:

We have two 'Connect Board' Columns and three Formula Columns:

**Products** -> Connected to the 'Products Board'\
**Services** -> Connected to the 'Services Board'\
**Subtotal** -> Total of the Mirror Columns 'P-Total' and 'S-Total'.\
**Total** -> Formula Column which multiplies 'Subtotal' by 1.2\
**Tax** -> Formula Column which subtracts Total-Subtotal

### **Board 2 - Products**

This is what the board 'Products' looks like:

### **Creating the Template**

In our docx template, we want to include data from three boards. The details of our requestor/client from the 'Deals' board, the Products from the Product Board and the Services from our Service Board.

In the end, we want to have a summary with all numbers (from the Deals Board).

The title of the connect column in our Deals board is 'Products', so we need to use these placeholders to load the connected items:

The title of the connect column in our Deals board is 'Services', so we need to use these placeholders to load the connected items:

### **Summary Table**

The summary uses columns from a specific item in the Deals board, so we reference it with **`{{Item.ColumnTitle}}`**

## **Create Item Level document**

Now the template is ready to go. Select the 'DocExport' view in your board and either a) upload your template via the "Upload template" button, if you created a completely new template from scratch.

b) or reupload it via the "customize template" Button in the top right corner of the document, if you have made your adjustments based on an already created template.

# Loading Tables from Boards via Board-ID

Insert tables from any board into your document by loading them via the Board-ID

In addition to loading items from the current board, you can also pull **data** directly from **other boards** by using their **Board ID**.&#x20;

This is especially useful if you want to combine information in tabular format from multiple boards or reference board data that is stored elsewhere.

### Using the Board ID in Table Placeholders

All item data in tables is wrapped using these placeholders:

```
{{TableStart:Items}}
   Your placeholders like {{Column Title}}
{{TableEnd:Items}}
```

Now, if you want to load data in tabular format from a different board, you need to **wrap the whole table between those two placeholders**:

```
{{TableStart:Board[123456789].Groups}}

   Your placeholders like {{Column Title}}
{{TableEnd:Items}}
{{TableEnd:Board[123456789].Groups}}
```

The number inside the brackets—`123456789` in this example—is the **Board ID** of the board you want to output.

#### Where to Find the Board ID

You can find the Board ID in multiple places, for example:

* In the **URL** of your board<br>
* In the **board details menu**, where the ID is also displayed

### Using Filters and Groups with Board ID Tables

Board-ID-based placeholders fully support [the use of filters](/template/board-level-filter) as well as [grouping](/template/advanced-options/group-by).\
This means you can apply the same [filter conditions](/template/advanced-filtering) even when loading tables from another board.

To use filters and groups, extend your placeholder like this:

```
{{TableStart:Board[123456789].Groups(FilterCondition)}}
```

or &#x20;

```
{{TableStart:Board[123456789].Items(FilterCondition)}}
```

Make sure to close the table with the matching placeholder:

```

# Board Level Filter

Create a Board Level document and filter down to specific items. You can filter by any column you want using monday.com native filtering. (e.g. Weekly Project Progress Report)

## Filter your Board Level Documents

Use the native monday.com filter in the DocExport view to filter down your board to your specific needs.

### **Apply Board Filters**

1. Open the DocExport view.
2. Set a board filter in the DocExport view. In this example, we set the native monday.com filter to 'Due Date is Past Dates' AND 'Status is not Done' to narrow down all items to only tasks that are already overdue but not done yet.

3. Apply the board filter in the DocExport view. Make sure to select the 'Apply board filter' option:

4. DocExport now gives you a real-time preview of your document that only contains the filtered items. By clicking in the top right corner of the document preview you can either download the PDF report or customize the template to make further adjustments.

### Using Filters in Templates with Actions/Automations

If you want to create further documents with the same template and filtering, we recommend defining a specific name by clicking on 'Actions/Automations' and maybe setting up an [automation](https://help.pdfreportgenerator.com/automations).&#x20;

This way, you can automatically create reports for a set time period (e.g. weekly on Wednesdays and Fridays), that filter the tasks to your need.

#### How it works

1. **Set up an automation for your template.**\
   Once you’ve added one or more actions for a specific template, the associated filter will automatically be saved with that template.
2. **Select your template again.**\
   When you choose the template from the dropdown menu, you’ll now have two options:

   a) **Use board´s current filter:**\
   Apply the filter that’s currently active in your Board View.

   b) **Use template filter:**\
   Apply the filter that was saved with the template: the one you configured during your last automation setup.

This allows you to reuse your template while staying flexible with your filters **without losing your automation settings.**

### **Optional: Split View**

You can also activate the 'Split View' to see a preview of your filtered items. Click on the 'App Settings' Icon and 'Split View':

# Advanced Filtering

Advanced filtering is necessary if you want to filter for some special columns or subitems and include the conditions in your templates.

## Concept of advanced filtering

Some filters can't be automatically retrieved from your monday board (e.g. subitems). In such cases, we need to load all items and filter on our side by including the filter condition in the docx template.

### **Step 1: Retrieve the filter string**

1. Open the DocExport view in your monday board
2. Click on "More"
3. Select 'Subscription' and apply your preferred filters in the board
4. Click on the button 'Copy filter condition' to retrieve the specific, coded filter string:

Some requirements go beyond what can be configured directly in the UI. However, you still have the option to apply these advanced filtering/ sorting rules into Base64 code and insert them directly.

## Concept of working with Base64 codes&#x20;

Before encoding, every filter begins as a **decoded configuration object**. This object defines all filtering and sorting logic in a structured format and will then be added to the grouping placeholder.

To build this configuration correctly, you will need:

### **1. The column IDs from your monday.com board**

Each rule - whether a filter or a sort condition- must reference the exact `column_id`.\
We recommend listing all your requirements first and then gathering the corresponding column IDs from your board.

### **2. Sorting rules using `order_by`**

All sorting configurations must be placed inside an `order_by` array.\
The sequence inside this array defines the exact sorting order.\
For example:

  { column_id: "country" },
  { column_id: "state" },
  { column_id: "city" }
  ]
```

This means the data will be sorted **first by Country**, **then by State**, **and finally by City**. You can use as many sorting rules as you like, just add them to the row by separating them with a comma.

### **3. Combined Filtering + Sorting rules**

If your configuration includes both filtering and sorting, the object must always begin with a `rules` section:

rules: [...],
order_by: [...]
```

* `rules` defines the filtering logic
* `order_by` defines the sorting logic
* Both must be included when using filters and sorting together

#### Retrieving only the filter string for the 'rules' section via the UI

You can retrieve your filter conditions directly from the UI as a **Base64-encoded filter string**.\
This is especially useful if you only need the filtering part (`rules`) but want to manually add additional sorting or grouping logic afterward.

By copying the filter from the UI:

1. You get a ready-made Base64 **filter** string based on your current UI filter selection.
2. You can **decode** this Base64 string to view the underlying filter object.
3. You may then **combine this decoded `rules` object with your additional requirements**—for example, adding `order_by` sorting rules or expanding the logic.
4. Finally, you can **re-encode the entire combined object back into Base64** and use it inside your template’s grouping placeholders.

This approach gives you a quick starting point for the filtering logic, while still allowing full flexibility for custom combinations of filters, sorting rules and grouping structures.

### **4. Encoding the configuration into Base64**

Once your decoded object is complete, you can convert it into a [Base64 string](https://www.base64encode.org/).\
This encoded string represents the full logic (filters and/or sorting) in a compact format.

### **5. Inserting the Base64 code into your template**

After encoding, the Base64 string must be placed **directly inside your TableStart and TableEnd placeholder**, this is also where you can add your [grouping](/template/advanced-options/group-by):

* `{{TableStart:...}}`
* `{{TableEnd:...}}`

For example:

# Sort by

Choose how your items are ordered in your exported documents. With DocExport, you can either use monday.com’s native sorting or define your own fixed sorting logic using our Dynamic Table feature.

## Option 1: Use monday.com´s native sorting

If your sorting order always stays the same, you can simply use monday.com´s built-in sorting options. Option 1 is perfect if your sorting in monday.com doesn’t change often and you want your exports to always follow your live board view.

If you want to use a **specific sorting order that’s independent from the current sorting in your board**, you’ll need to use **Option 2**.

Option 2 is also recommended if you want to **combine** **sorting, filtering and/or grouping** in more complex ways, or if you’d like to apply sorting as part of an **automation**.

Due to limitations in monday.com’s app framework, sorting, filtering, and grouping together aren’t natively supported. That’s why we’ve built our own solution which lets you define fully custom sorting and filtering logic directly inside your template.

1. **Open your monday.com board**\
   Go to the board view of the board that contains the items you want to export.
2. **Sort your items** \
   Use monday.com´s built-in sorting options to arrange your items in the desired order (e.g. by date, priority, status or manually). \

3. **Open the DocExport view**\
   Once sorted, open the DocExport view in the board. The sorting you apply in your board will automatically appear in the **DocExport preview**.
4. **Export your document**\
   When you create a document (via the 'Board Print' or any template), the **current board sorting** is always used.

## Option 2: Use DocExport’s Dynamic Table feature for sorting

If you need a **fixed sorting order** that stays the same regardless of how your monday board is currently sorted, you can use our [**Dynamic Table**](/features/dynamic-tables) feature.

With Dynamic Tables, you can define **custom sorting logic** — for example, always sort by a specific date column — and this sorting will remain consistent, even if someone changes the board view order in monday.com.

The 'Sorty by' Feature lets you sort your items by order of the board or other columns you use.

### **Combine sorting with filters**

You can still use filters together with either sorting option.&#x20;

**Option 1:** Apply a board filter to your view and check on 'apply board filter' in DocExport. You will get a live preview of your sorted **and** filtered document, that you can download as a PDF or Word file.

How to use Microsoft Word Formulas for advanced Calculations in Templates.

While DocExport allows you to output formula results and sum values directly from your monday.com board, **you can also use Microsoft Word's formula fields** to create additional calculations inside your template.

## How to add Custom Calculations in Word Tables

1. Open your .docx template or create a new one.
2. Click into the table cell where you want the calculation to appear.
3. **Insert a Formula Field.**\
   Click on **'Insert'** in the top menu and select **'Fields'.** \
   You can also press  **Ctrl + F9** (Microsoft) or **\[⌘ + F9]** (Mac) to insert a field. \
   You’ll see curly brackets like this: `{ }`\
   &#x20;
4. Inside the brackets, add a Word formula like:\
   `{ ={{FieldA}}/{{FieldB}} }`\
   &#x20;Click on '**Table Layout'** and select '**Formulas**'.

## Helpful Tips for Using Mergefield Calculations

1. **Do not** type the curly brackets `{}` manually.\
   → Use the way described above to insert field brackets.
2. If you don´t see your field codes when you open your .docx file, you need to toggle them.\
   To **toggle field codes**, right-click the field and choose '**Toggle Field Codes'.**
3. After editing fields, **always** update them by selecting the field and pressing **F9.**<br>

# Page Break

Add a page break at the end of your table to make each item start on a new page

If you are generating an **item level document** and want each item (including the SubItem table) to start on a new page, you can add a page break to your document.

Here´s how it works:

1. Open your .docx template in Microsoft Word.
2. **Highlight the {{TableEnd:Items}}** placeholder located below your SubItems table.
3. Right-click it and select **'Paragraph'.**
4. In the dialog that opens, go to the **'Line and Page Breaks'** tab.
5. Under ‘**Pagination**', enable the option '**Page break before'**.

Of course, you can place the page break somewhere else if you're not using a SubItems table – for example, below the Item table.

How to group output in Word Templates using Custom Placeholders

## Grouping Items

If you want to group your data by a specific column (like **Status**, **Priority**, or **Owner**), you can fully control how the grouped output appears in your document – directly from your Word template.

This is done by using **custom placeholders** in your template.

### The Logic

To group your output, simply wrap the section you want repeated inside two custom placeholders:

Replace `ColumnName` with the exact name of the column you want to group by.

### Examples

## Grouping Subitems

You can also group **subitems** by any of their own columns — for example, by their Status, Priority, or Person column. This works just like grouping on the main item level, but uses a dedicated subitem group placeholder wrapped around a standard **`Subitems`** table.

### The Logic

Wrap your subitems table with a **`GroupBySubitem...`** placeholder pair, naming the subitem column you want to group by:

Replace **`ColumnName`** with the exact name of the **subitem** column you want to group by.

Each status value (e.g. *Done*, *Working on it*, *Stuck*) will produce its own section, containing only the subitems that match that status.

Carry over the column headers of a table onto the following pages in Microsoft word.

Here´s how it works:

1. Open your .docx template in Microsoft Word.
2. Click inside the table and **highlight the row (or rows) that you want to repeat** as a header.
3. **Right-click** the selected part and choose **'Table Properties'.**
4. Go to the **'Row'** tab.
5. Check the box '**Repeat as header row at the top of each page'** and click **OK** to apply.

Now, whenever your table extends across multiple pages, the selected header row will automatically appear at the top of each new page.

# Hide default templates

In this article, you will learn how to hide the default templates from the DocExport start page dropdown.

By default, each new DocExport board view includes a set of starter templates to help you get started quickly. If you would prefer to display only your custom templates, follow these steps:

1. Open your DocExport Board View
2. Click on **More**
3. Select **Templates**
4. Uncheck the option "Show default DocExport templates"

However, if you want to send it via email, save it in a file column, or share it in another way, click on **Actions/Automations**.

Define what should happen with the report? By default, all reports are automatically saved in the list of reports under "More".

1. **File name:** Enter a file name. If no name is entered, the name of the document/template is used. You can also use placeholders in the file name, e.g. Project report {{Today}}. This way the date will always be added to your file name.
2. **File format:** Define whether you want to download/send/save the document as PDF or .docx file.

If you choose this option and, for example, have defined that your document should be sent via email to the user who created it, the report will now be sent **once**.

### **Setup automation** <a href="#setup-automation" id="setup-automation"></a>

If you want to use your document along with the defined actions more frequently, you can create an automation. This allows you to generate, for example, a **weekly report** and automatically send it to the specified email addresses. It is helpful to give your template a unique name, as this will also be the name of your automation recipe.

# Automations

Use automations to generate PDFs on auto-pilot

DocExport documents can be automatically generated based on a button click, a date/time period or a status change. You can use our **pre-made automation templates**, use the **monday automation builder** or the DocExport Action block in the **monday workflow** builder.

## Create a template and define actions

**Create a PDF document and define which actions you want to use in your automation.**

1. Open the "DocExport" view and [create a document.](broken://pages/qapXoxkqHY2mGpBXslvH)
2. Click on "Actions/Automations" once you're happy with the result.
3. Now define all the actions you want to trigger through automation, e.g. send a document via email or save it to a file column. For a detailed explanation of all available actions, please take a look [here](/features/actions). We recommend specifying a name so that you can easily identify it later when creating the automation, e.g. "Invoice Template A" or "Risk Assessment".
4. Once you have defined all the actions, click on the blue "Setup automation" button.

## Set up a pre-made automation

1. In your monday board, click on **Automate**
2. Search for **DocExport** and select it.
3. You will find five different automation recipes: 1 Board Recipe and 4 Item Recipes. Select the recipe that suits your use case and fill in the parameters. The DocExport recipe you just defined in your Actions will be shown in the dropdown.
4. Add the integration to your board. All done. If you now change the status/click a specific button or a certain date is reached, a document will automatically be created (and optionally sent via email).

### **1) Board recipe: Time period** <a href="#id-1-board-recipe-time-period" id="id-1-board-recipe-time-period"></a>

Example: **Every Friday create** a board **document** using **DocExport template "Weekly Status Report".**

### **2) Item recipe: Status integration** <a href="#id-2-item-recipe-status-integration" id="id-2-item-recipe-status-integration"></a>

Example: Changing the **Status** to **Done**, creates a new document based on the **DocExport template "Project Status Report"**.

### **3) Item recipe: Button integration** <a href="#id-3-item-recipe-button-integration" id="id-3-item-recipe-button-integration"></a>

Example: Clicking on the button **Generate PDF**, creates a new document based on the **DocExport recipe "Portfolio Report"**. To use the button integration, you need a column that contains a button. You can also create a new one on the fly while adding the integration.

Example: 1 day after the timeline end date is reached, create a new document based on the DocExport recipe "ProjectReport".

### **5) Item recipe: When item is created** <a href="#id-4-item-recipe-date-integration" id="id-4-item-recipe-date-integration"></a>

Example: As soon as you add an item to your board,  a new document based on your DocExport recipe is created.

## Create monday automation from scratch

You can use the DocExport template in the monday automation builder. This allows more complex automations with multiple conditions.

1. In your monday board, click on **Automate**
2. Click **Create** and Create from scratch
3. Search for **DocExport** in the action section

## DocExport in monday workflows

You can add DocExport as monday workflow action. This allows more complex automations and also multiple templates depending on different conditions.

1. In your monday workflow builder, search for **DocExport**
2. Select **Generate DocExport Document**
3. Select your DocExport template from the dropdown

### Limitations

When generating documents for many items at once, the following limits apply per run:

* **Saving to a file column:** up to **200 documents** at once — for more, please generate in batches of 200.
* **Downloading from the board view** (no file column): up to **500 documents** in one go.

# Custom Email Templates

Send your PDFs by email and customize the text and subject line with an easy to use editor or using your own HTML code.

## Custom Email Templates

You can email all generated PDFs from your monday.com board to the user who created the document or to any email address of your choice.

People columns and email columns are also supported.

By default, all attachments are sent using the standard DocExport email template:

You want to change the look? No problem! This email can be tailored to you and your needs by adding custom email templates.

**Note:** Custom Email Templates are only available for the DocExport [Professional](https://www.docexport.com/pricing/) plan or any higher plan.

## Add Custom Email Template

1. Open the DocExport view in your monday.com board
2. Go to "More" and click on "Templates"
3. Choose "Add Email template"

4. Define the name of your email template by clicking on the name field.
5. Customize your email template by entering a custom subject line and defining the email body. You can use the text editor and create your HTML template from scratch or directly copy your HTML code into the email body field by switching to the code view.
6. Edit your template afterwards by clicking on "edit" in the template view.

### **Use placeholders in your templates**

You can also use placeholders in your Custom Email Templates, e.g. if you want to output the name of the document that is attached to the email.

You can use the following placeholders:

`{{Name of Document}}` *-* for the name of the document attached

`{{User.Name}}` *-* name of the user generating the document

`{{Board.Name}}` *-* name of the board you are using while generating the documents

`{{Item.ColumnTitle}}`*-* value from any column, e.g. Text column, Numbers column, Date column, etc.

## **Select and use Email Template**

1\. Generate a document and go to "Actions/Automations".

2\. When selecting to send it via email, you will have a dropdown menu where you can select your custom email template.&#x20;

If you are setting up an automation, the chosen email template will always be used for this particular use case/recipe

## Custom Email Sender

You can specify a custom 'Email sender name' and custom 'Email sender address':

## **Custom Sender from People Column**

You can also use dynamic information from a people column.

Simply add the placeholder `{{Item.People}}` as your 'Email sender name'.&#x20;

If the title of your people column is 'Requester', the placeholder would be `{{Item.Requester}}`.

The 'Email sender address' can be empty and it will take the email address from the people column automatically:

## Additional File Attachments

When creating your actions/automations, you can select a file column to attach additional files.

* Generate an "Item Level" document
* Go to "Actions/Automations"
* Select "Advanced Settings"
* Choose the files column which contains the files you want to attach (e.g. additional PDFs, images, etc.)

## Troubleshooting

In some cases, a "Space" or a "Pipe ( | )" is not supported in email placeholders. If you're running into any issues, please modify your placeholders slightly by wrapping the column title between **\["** and **"]**.

**Example:**

Instead of `{{Item.Client Name}}` use `{{Item.["Client Name“]}}`

or if you want to format a date:

Instead of `{{Item.Expiry Date | MM-dd-yyyy}}` use `{{Item.["Expiry Date | MM-dd-yyyy"]}}`

# Triggers

The ‘Triggers’ feature lets you create sharable QR codes or hyperlinks that automate actions on your monday.com boards, such as updating statuses or numbers columns.

This allows even people outside your team to handle tasks like inventory updates, event check-ins, quote approvals, and more, all without needing access to the board.

### Some example use cases

**1. Inventory Management**

Place QR codes on product shelves. When scanned, users can input the current stock count, which updates the numbers column on your monday.com board. This keeps inventory levels accurate without needing to access the board or have a user account.

**2. Event Check-ins**

Use QR codes for attendee badges or tickets. Scanning the code automatically updates a status column on your board to mark attendees as “Checked In,” streamlining event management.

**3. Approval Workflows**

Include a hyperlink in an email to clients or stakeholders for quote approvals. Clicking the link updates a status column to “Approved” on your board, simplifying the process without requiring access to the board. Include a second hyperlink to change a status column to "Rejected", and you have a fully automated approval process.

**4. Task Completion in Construction**

Field workers can scan QR codes placed on job sites to mark tasks as “Completed” or update the number of items finished, keeping your project board up to date without needing to access it directly.

**5. Order Fulfillment**

Add a QR code to packing slips. Warehouse staff can scan it to mark an order as “Shipped” or update the quantity of items sent in a numbers column, keeping order statuses updated in real time.

## Setting up Triggers and Actions (Status Column)

If you want to change the value of a status column by clicking a link or scanning a QR code, follow these steps to set up the trigger:

1. Open the DocExport view in your monday.com board. Go to "More" and select "Triggers"
2. Click on "Create new Trigger"
3. In this example, we set up a trigger to change the status column "Quote Status" to "Approved"

By repeating the steps, you can create another trigger for rejecting a quote.

## Setting up Triggers and Actions (Numbers Column)

If you want to change the value of a numbers column by clicking a link or scanning a QR code, follow these steps to set up the trigger:

1. Open the DocExport view in your monday.com board, go to "More" and select "Triggers"
2. Click on "Create new Trigger"
3. In this example, we set up a trigger to update the quantity in a numbers column

## Adding QR code triggers to templates

1. Open the DocExport view in your monday.com board, go to "More" and select "Triggers"
2. Copy the placeholder for the QR code and insert it into your docx template

Example: `{{Image(100;0):Trigger.Approve Quote}}`

The number "100" in the placeholder defines the width in pixels of your QR code on the final PDF. To make your QR code bigger, simply change this number.&#x20;

## Include Trigger Links in Email Templates

1. Open the DocExport view in your monday.com board and select "Triggers"
2. Copy the placeholder for the Hyperlink and insert it into your "[Custom Email Template](/features/custom-email-templates)"

### Adding a custom button link to your Email Template

If you want to include a clickable button (for example, a trigger link) inside your DocExport email template, you can insert an HTML snippet directly into the email body.\
The button automatically adjusts its width based on the text you provide.

**Example HTML Snippet:**

**How it works:**

* **`href`** controls the button’s destination URL. You can use a URL (e.g. <https://www.docexport.com>) or the Trigger placeholder, like in the example.&#x20;
* The button’s size adjusts automatically according to the label text
* You can replace **Example Text** (button text) with any static or dynamic value from your board
* All styling is inline to ensure compatibility with email clients

# Initial setup

Follow these steps for the initial set-up and authentication to get started with eSignatures.

### Access the eSignature settings

* Open the DocExport board view
* Click on "More" and "Signatures"

* Click on "Signature settings"
* **Upload your company logo**. This will be shown in eSignature emails, in the signing portal and in the "Certificate of Completion" (Audit Log).\
  If no logo is uploaded, the "DocExport" logo will be used by default.
* Define the **days to expire**. How many days should each eSignature request remain valid?
* Define the date format&#x20;

Under **‘Advanced Settings'** you can

* Customize the name that will appear as **the sender** in the eSignature email (optional)
* Define a **Redirect Url** after signing (optional)
* Customize the **colors of the email** (optional)
* Add a **disclaimer**, that the signers see before signing the document (optional)
* Decide how to save or combine the **audit trail** (optional)
* Define **how many reminders** should be sent and **how many days** should be **between** these **reminders** (optional)
* If you are ready, click on "Save"

### Set up sender identity

This is who the eSignature request will appear to come from. Confirm your email to finalize the setup and start sending requests.

* Click on "**Sender identities**"
* Select **"Create new sender identity"**
* Type in the name and the email address of your sender identity you want to use.
* Define the notification settings.
* Click on "Save" and check your email inbox

### Check your inbox and confirm sender identity

You should receive an email from our eSignature provider, "BoldSign", allowing "Tower Apps", the company behind DocExport, to send eSignature requests with your sender identity.

Click on "**Approve Request**" and on "**Approve**" on the website:

Go back to the monday.com tab in your browser and click on "**I confirmed the email address**".

For an easy start, you can generate a starter template:

When creating your template, you can use all standard placeholders like {{Item.Name}}, {{Item.Status}} and so on to include information from your board.

In addition, these are the specific placeholders for eSignatures:

**`{{Signature:1}}`** – Placeholder for the actual signature image\
**`{{SignatureName:1}}`** – Name of the signer\
**`{{SignatureDate:1}}`** – Date of signature

If you want to add a **second signer** to the document, simply add these placeholders to your document:

**`{{Signature:2}}`** – Placeholder for the actual signature image\
**`{{SignatureName:2}}`** – Name of the signer\
**`{{SignatureDate:2}}`** – Date of signature

You can also add a third signer with the same logic.

### Initials placeholders <a href="#add-placeholders" id="add-placeholders"></a>

If you want to add "Initials" to your document, use these placeholders:

**`{{SignatureInitials:1}}`** – Initials placeholder for Signer 1\
**`{{SignatureInitials:2}}`** – Initials placeholder for Signer 2 (optional)

You can insert the initials placeholder multiple times in your document. For example, if your contract has five pages, place the initials placeholder on each page.

### Tips for your template <a href="#add-placeholders" id="add-placeholders"></a>

Choose a **large font size** for your  **`{{Signature:1}}`** placeholder. Otherwise, the final image of the signature will appear very small.

We also suggest to make the **`{{SignatureDate:1}}`**  placeholder slightly larger.

# eSignature workflow

Learn how to setup the eSignature workflow when you have prepared your template.

### Setup the eSignature workflow in 3 steps:

1. Upload the template and match the signers
2. Define actions
3. Set up automation

### Step 1: Upload the template <a href="#add-placeholders" id="add-placeholders"></a>

* Open the **DocExport board view** and click on the **upload icon**
* Upload your template
* Match the signers on the right side:

Select a name column (e.g. Client Name) and select an email column (e.g. Client Email).

You can also choose a "People" column, and the email address will be pulled automatically from the monday user (e.g. Sales Rep).

Click on the "arrow" icon to add a message for the specific signer (e.g. "Please sign as discussed") or add a custom message for all. This message will show up in the email the signers will receive.&#x20;

If you check "Signing order", the second signer will only receive the email as soon as the first signer has signed. If you leave it unchecked, both signers will receive the signing email at the same time.

### Step 2: Define actions <a href="#add-placeholders" id="add-placeholders"></a>

* Click on "**Actions / Automation**"
* Select a **file column** for the **signed PDF** -> the final PDF will be saved to this column
* Select a **file column** for the "**Audit Log**" PDF -> the audit log PDF will be saved to this column. The audit log includes detailed information and time stamps to validate the eSignature (optional)
* Click on "**Setup automation**"

### Step 3: Setup monday automation <a href="#add-placeholders" id="add-placeholders"></a>

The last step is to setup the automation to trigger the workflow with just a click or a status change.

* Click on "**Integration**" on the top right
* Search for "DocExport" and click on the DocExport logo
* Select your preferred automation. In this example, it's "When status changes to something..."

# Signing process

In this article, you'll learn what the signing process for the enduser looks like.

### Signature request email

After triggering the [eSignature workflow](/features/esignatures/esignature-workflow), the signer(s) receive this email from our eSignature provider "BoldSign". Your company logo is also embedded:

Click on "Review and Sign" to open the signature portal.

### Signature portal -> signing the document

After clicking on the "Review and Sign" button in the email, the user is redirected to the "BoldSign Signature Portal", which is also branded with your logo and contains a preview of the document with highlighted signature fields:

The signer has multiple options to sign:

* Choose the name with a pre-defined font
* "Draw" the signature (e.g. with tablet, phone,...)
* Upload a scanned image of the signature

After signing, click on "Finish" -> That's it. You'll receive a signing confirmation via email.

If there are multiple signers, the signing experience for the second signer looks similar, already with the first signature visible:

After everyone has signed, you will receive a confirmation email with the signed document and an "Audit Log" PDF with time stamps attached.

# eSignature settings

Learn more about the settings for the eSignature feature.

### Change eSignature Date Format

To change the date format for the signing date, follow these steps:

* Open the DocExport board view
* Click on **More** and **Signatures**
* Click on **Signature settings**
* Select the preferred date format from the dropdown menu
* Click on **Save**

This setting will apply to all eSignature requests in your account. No need to change anything in your eSignature document template.

### Change eSignature Language

To change the language used in eSignature emails and the eSignature portal, follow these steps:

* Open the DocExport board view
* Click on **More** and **Signatures**
* Click on **Sender Identities**
* Click on the **Edit Icon** for the relevant sender identity
* Change **Language / Locale** to your preferred option and click on **Save**

You can generate charts based on data from your monday.com board by using DocExport. These charts can be output in your document by using specific placeholders.

### **Generate Charts**

1. Open the DocExport View and got to "More"
2. Click on "Charts" and "Create new chart".
3. Select the type of chart you want to create, e.g. Bar, Pie, Bubble,...\
   If you're not sure yet, you can simply select a type and you'll get a preview of your possible chart.
4. Determine which data you want to display on the X and Y axes. See section "Supported field types" for an overview.
5. Select the calculation function that serves your use case: Sum, Average, Median, Minimum, Maximum.
6. Type in a name for your chart by clicking on the field "New chart". If no name is entered, DocExport will create a name for you.
7. Save your chart.
8. In order to add your charts to your documents, please follow the steps [in this article](/template/charts).

**Chart X axis:**

* People columns
* Status columns (including colors in tables and groups)

**Chart Y axis:**

* Number columns
* Mirror columns
* Formula columns
* \+ "Count items", which adds up the number of items present

### **Example Use Case: Reports**

In this example, charts have been added to an Executive Project Status Report. You can use your generated charts to prepare your reports graphically and display data in an understandable way.

As you can see in this bar chart example, you can also choose two values ​​on the Y axis so that you can compare two values ​​with each other.

# Share Recipes and Templates

Share recipes and templates within a workspace. Useful, if you're duplicating boards or using board templates (e.g. single project templates).

You can easily share automation recipes between boards. This feature is included in all our paid plans (from Standard).

## How to share recipes?

If you define a new action/automation, you'll find the option to 'share with workspace' under ‘advanced settings':

All shared recipes will be automatically available in all other boards of the same workspace.&#x20;

## Share existing recipes

You can also share an existing recipe:

1. In the DocExport Board view, select the template you want to share
2. Click on 'Actions/Automations'
3. Select 'Share with Workspace' (see first screenshot)

The shared recipe will instantly appear in all other boards of your workspace.

## I can't see my template

Only the recipe will be shared if you share a recipe with other boards. The connected template stays in the original board and will be pulled from there.&#x20;

If you want to update a template, you can simply replace/edit the docx template in your original board.


# Merge additional PDFs

The "Merge additional PDFs" option in DocExport allows you to automatically append existing PDF files from a file column to your generated document.

This is especially useful when you need to include attachments such as contracts, product sheets, or any other supporting documentation, streamlining your workflow and ensuring everything is delivered in one complete file.

Any PDF stored in the selected file column will be automatically merged at the end of the generated document during export.

## How to set it up?

1. In the DocExport Board view, click on "Actions / Automation"
2. Choose the file column where the generated PDF should be saved.
3. Under "Advanced settings", select the file column that contains the PDFs you want to merge into your generated document.

* **Client Submissions via Workforms**\
  When clients upload signed contracts, agreements, or supporting documents through a monday.com workform, those PDFs can be automatically merged with your generated report. This streamlines client handoffs or approvals.
* **Product or Service Documentation**\
  Include brochures, manuals, or technical specifications (uploaded into a file column) with automatically generated proposals or quotes. This ensures clients receive all relevant materials in one professional PDF package.
* **Internal Reports with Attachments**\
  Combine a generated project summary or progress report with attached photos, permits, or scanned forms submitted by team members. This is ideal for construction, field service, or compliance workflows.

## FAQ

**Q: Can multiple PDFs be merged into the generated document?**\
**A:** Yes! If the selected file column contains multiple PDF files, they will all be merged into the final document in the order they appear.

**Q: Can I control the order in which additional PDFs are merged?**\
**A:** Currently, PDFs are merged in the order they are stored in the file column. To control the order, upload them in the desired sequence.

**Q: Where will the additional PDFs appear in the generated document?**\
**A:** All additional PDFs are automatically appended to the end of the generated document.

**Q: Will the merged PDFs retain their original formatting?**\
**A:** Yes, the merged PDFs keep their original layout, styling, and formatting when combined with the generated file. You can even mix different formats (e.g. A4 + A5) and also different orientations (Landscape/Portrait).


# User Permissions

Advanced permissions and restriction settings. Restrict who can download and generate new documents for different user roles like Board Owners, Board Members and Guests.

## Restrict permissions for different user roles

By **default**, the permissions in DocExport are set to:

**Generate new recipes/templates:** Board Owners and Admins\
**Read and download documents:** Board Members\
**Restricted:** Viewers and Guests

With custom user permissions, you can set individual user permissions per role.

**Options:**

**1. Define who can read and download documents:**

* Only Board Owners and Admins
* Board Members
* Board Members and Guests

**2. Define who can generate new documents:**

* Only Board Owners and Admins
* Board Members
* Board Members and Guests

Permissions for reading/downloading and generating can be set individually.

## Where to find the settings?

In any DocExport board view, click on the settings icon and on 'Go To App Settings'

You can now define which user roles are allowed to read/download documents from the DocExport board view and which are allowed to generate new document templates/recipes.

**Please note:** users can still generate documents via automation if you create an integration/automation (e.g. 'When Status changes, generate document').

The setting above restricts users from creating new templates and/or recipes for document generation.

monday.com file columns are not part of the DocExport restriction. For example: if your item-level recipe saves a PDF to a file column and you want to restrict it to a specific user role, you need to restrict the [column permissions via monday.com](https://support.monday.com/hc/en-us/articles/360011926640-Column-permissions)


# Conditional Actions

Generate documents based on a condition. Example: Create course certificates with individual templates for different course types on the same board.

In the following example, we want to create course certificates based on the course type. Each course type has a different template.

### **Setting up the recipes**

1. Generate an [Item-level](/getting-started/item-level-template) document and go to 'Actions/Automations' to define an action.
2. When defining the actions for your automation, click on 'Advanced settings' and select the status column for the condition.\
   In our example, the status column is called 'Course', and the label is 'Course A'\
   Note: Currently, only the 'Status' column is supported.
3. We only want to execute the automations/integrations for this action when this condition is met
4. Repeat the steps for the other conditions (e.g. Course B, Course C,...) as well

The end result is one template and one action/automation per condition.

In our example, we want to trigger the automation as soon as the status changes to 'Done'.

# Dynamic Tables

Create tables directly in the app and insert them into your documents by simply using a placeholder.

## What is a table?

We are talking about a table in which we automatically output a list of all items and/or sub-items of a monday.com board.

To do so, you only need two rows - no matter the number of items/sub-items: one for the headings and one for the placeholders. The second row will automatically replicate itself by the number of items/sub-items in the exported PDF. This structure outputs a loop across the entire board and can thus retrieve all items and output them on the document.

In comparison to a table in which individual content is written in each row, these are dynamic tables that work with placeholders.

## Create a new table

Instead of building tables from scratch in Microsoft Word, you can define tables directly in the DocExport app and insert them into your document by using a placeholder or by copy and paste.

1. Open the DocExport View and go to **"More"**
2. Click on **"Tables"** and **"Create a new table"**
3. **Click on the "Table Name" field** to insert a custom name for your table. If no name is entered, DocExport will create a name for you.
4. **Select the data source:**\
   a) Items: includes all items from the whole board\
   b) Items in one group: includes items from a specific group, that you can choose
5. **Define grouping:** group your items by the groups from your board or by status.\
   You can also display sums for each group
6. **Apply filter**: you can apply the board filter, that you are currently using
7. **Select the columns** you want to display in the table.
8. **Define advanced settings:**\
   a) Sort by: sort your items by order of the board or other columns you use
9. **Save your table**.
10. In order to add your table to your documents, please follow the steps in the next section.

## How to use the table

You can use the table definition you just created in two ways:

### **Option 1: Insert the placeholder for the table into your Word template, in this case `{{Table:Items Effort by Group}}`**

For each table a specific placeholder is generated. You'll find the name of the placeholder next to the name of your table. This means that the whole table you defined (incl. groups) can be displayed by only inserting this placeholder into your template.&#x20;

### **Option 2: Copy & paste the table definition into your own Word template.**

You can also download the entire table definition in Microsoft Word format and copy it into your own Word template. This gives you the opportunity to customize the design of the table.

1. Click on the download button.

2. Open the file and copy the table definition part between the dashed lines into your own Word template

3. Using the entire table definition instead of only the placeholder gives you the opportunity to customize the table. This is an example of how the pasted but customized table definition could look like in a template:

# Custom File Name

Define a custom file name for each exported file. This gives you full control over how your documents are named and organized.

If you do not define a custom file name, your *item level documents* will automatically take the **item name** from your board, and your *board level documents* will automatically take the **board name**.

## Define a custom file name

DocExport allows you to define a **custom file name** for each exported file. By using placeholders, you can make file naming fully **dynamic**, so that the output automatically adapts to the document’s content or the export date.&#x20;

### **Here´s how:**

1. Click on '**Actions/Automations**'.
2. In the section '**Document settings**' you will find the option '**File name for the document**'.

### 1. Add Plain Text

You can use plain text for your file names, e.g. 'Project Status Report' or 'Quote'

### **2. Use Placeholders**

You can use placeholders in your file names, that are replaced with dynamic information, such as:

* `{{Item.Name}}` → Inserts the item name
* `{{Board.Name}}` → Inserts the board name
* `{{Today}}` → Inserts the current date. By default, the format of the date depends on the language/ country setting in your monday.com account. But you can easily change the format of your dates in your file names. [Learn more](https://help.docexport.com/template/customization/format-date-and-time) about date formatting.<br>

If you click on the **three dots** next to the input field, you will see a selection of popular placeholders for the file name. From there, you can also copy the placeholders directly into your field.

### **3. Combine text and placeholders**

You can also freely mix static text with dynamic placeholder fields.

* Example: `Quote for {{Item.Name}} from {{Today}}`<br>

This makes it easy to create consistent file names that automatically adapt based on the document content or export date.


# Additional Files from file column

Attach extra files from your board’s file columns to your emails.

With the **Additional Files from File Column** feature, you can attach extra files from your board directly to the emails that are sent via DocExport. This gives you more flexibility when sharing documents with your team or clients.

## How to set it up?

1. Generate an item level document.
2. Click on **'Actions / Automation'.**
3. Select '**Send via email to email address(es) in column: Select an email column'.** The option will only show, if you select this action.
4. Under **'Advanced settings'**, you will now find the option **'Additionally attach files to emails from: file column'**
5. In the dropdown, **select the file column** that contains the files you want to include.
6. When the action/ automation runs, the selected **file from the file column will be sent as an additional attachement**, alongside the generated PDF from DocExport.

### Merging PDFs

If you prefer, you also have the option to **merge both PDFs into one single file** before sending.\
To do this, simply use the [**Merge function**](/features/merge-additional-pdfs).


# Column ID (Dev Mode)

If you have trouble populating columns (e.g. too long titles or special characters), you can use the column ID instead.

## How to get the column ID

Instead of using the column title for a placeholder, you can also use the unique column ID.

**`{{Column_ID}}`** instead of **`{{Column Title}}`**

### **Activate developer mode**

1. Click on the top right corner to open the context menu
2. Select 'monday.labs'

3. Search for 'dev' and activate the 'Developer Mode'

Open your board and click on any column settings to see the column ID:

If you click on the column ID, the ID will be copied. You can now use this column ID to create a placeholder for your docx template.

In this example, the placeholder would be **`{{numbers__1}}`** instead of **`{{Price}}`**

***Note:** this workaround is only necessary if some placeholders don't populate.*\
*This could be the case if you're using special characters or too-long column titles (e.g. from a monday form)*


# App Permission

DocExport needs access to source boards if you're using mirror columns or formulas which load data from other boards in different workspaces.

## How to grant Workspace permission

Click on the DocExport Board view on any board.

Click on the 'Settings' Icon and on 'Go to App Settings':

Click on the 'App Management' tab, select the 'All Workspaces' option and click on 'Save':

That's it. From now on, DocExport can load data from mirror columns and connected boards, even if they are in a different workspace.


# Authorize App

By default, our system uses short-lived API tokens for generating documents, which work well for most use cases.

However, if you encounter issues with **exporting large or complex documents**, it may be necessary to authorize DocExport to ensure the process completes successfully without running into a time-out.

This ensures that the document generation process has the extended permissions and resources required for handling more demanding export tasks.

## How to authorize DocExport

* Click on the 'DocExport v2' Board view on any board.
* Click on 'More' and on 'Subscription'
* Click on 'Authorize App'

That's it! From now on, DocExport will no longer experience time-outs during the document generation process. If you encounter any further issues, please contact our support team.


# Additional App Settings


# Allow text columns as email recipient

By default, **DocExport** uses **Email Columns** in your monday.com board to determine who receives generated documents.

However, if your workflow stores email addresses in a **Text Column** instead, you can enable an option to allow those columns to be used as valid recipients and display them as selectable options when choosing your recipient column.

When this option is active, **all text columns** in your board will appear in the dropdown list for recipients, not just the ones that actually contain emails.

This can quickly become **cluttered or confusing**, especially on boards with many text columns. For best results and cleaner configuration, we strongly **recommend using Email Columns** whenever possible.

## How to enable "Allow Text Columns for Email Recipients"

1. Open your monday.com board and open the DocExport App View.
2. Select **'Settings'** and go to **'App Settings'.**\
   ***Note:** The first time you open App Settings, the Pricing page may appear. Simply close it and click 'App Settings' again.*
3. Scroll down to the **'Advanced settings'** section.
4. Enable the option **'Allow text columns for email recipients'**.
5. Once enabled, all text columns in your board will appear in the recipient dropdown inside DocExport.

### Multiple Email Addresses

You can also include **multiple recipients** in a single text cell by separating the addresses with semicolons (;).&#x20;

# Board level templates in item level automation

By default, DocExport doesn't show board-level templates in item-level automation triggers. Item-level triggers, such as "Status change," are related to the item on which the automation is triggered. &#x20;

To avoid any confusion, it's deactivated by default.

## How to enable "Board-level templates can be used in item-level automations"

1. Open your monday.com board and open the DocExport App View.
2. Select **'Settings' (⚙️)**&#x61;nd go to **'App Settings'.**\
   ***Note:** The first time you open App Settings, the Pricing page may appear. Simply close it and click 'App Settings' again.*
3. Scroll down to the **'Advanced settings'** section.
4. Enable the option **'Board level recipes can be used in item level monday automations'**.
5. Click on 'Save'
6. Once enabled, the board-level templates should show up when setting up an automation.
